Recently, we ran into a few situations where we have had clients in urgent need and we were unable to help them. In each case, the client or one of their team members had changed a password and forgotten to update us. Worse yet, we had a client who changed the password on an account and lost it. It doesn’t seem like a big deal, but this simple mistake resulted in their e-mail being down for several days while we recovered their passwords. While none of these situations were caused by Everbearing, and all of the clients involved understood this, we never are happy when we see our clients suffer inconveniences that could have been prevented.

In each of these cases of lost passwords/account information, the client assumed we did not need this information until a problem came up where we did need logins. Without the account information, we cannot provide the quick and cheerful service we always strive to provide.

Everbearing Service’s Security Techniques

Everbearing Services is very careful about where we keep and how we treat your information. We have a secure database with all of our clients’relevant material. This database is fully encrypted and password protected. We only share access to this information with trusted members of our team.

We do not charge for entering or storing more information into our database. It doesn’t cost us extra to store additional passwords and having them in our database further ensures that we have them when we need to support you. For your own security, we advise that you keep copies of all this information in a secure place as well.

Passwords and Account Info to share with your Web Team:

  • Website
  • Domain Hosting
  • Web Hosting
  • Google Analytics
  • Google AdWords
  • Google WebMaster Tools
  • YouTube (or other video services)
  • Picassa or other photo sharing services
  • Newsletter software
  • Social media sites
  • Review sites
  • Web Directories
  • Any other web-based service you use to promote your company or maintain your website.

If you have not sent us all these relevant passwords, please do so. Please do NOT send these passwords and account information to us via e-mail, as this method is insecure. It is better to text or call us to give us the information more securely.

E-mail list Security and other critical files

Along these same lines, it is important to let us know about any sensitive E-mail lists or files. If there is anything unique about a file or list (such as only certain people having access), please let us know. If we do not know, we cannot take special care of this list or information in the way you would want us to. In the case of sensitive e-mail lists we want to know so that we do not mix this list with any non- sensitive lists managed your newsletter software. We will store such lists offline until you need us to use them, and then delete them from the newsletter software when we are done. We will maintain these lists in a secure area that is completely separate from your standard lists. The same goes for your critical or confidential files. Please let us know the level of care we need to take so we can store this information appropriately. When we are aware of your needs, we can provide you with better services.

Make your team aware

In a couple recent cases, someone at a company changed something and did not let anyone else there know. In one such case, the person had left the company and was adversarial to the company. Although this does not commonly happen, it is best if your company has a policy of gathering this information and giving the relevant information to us. This helps to cover your organization if something does not go as well as you would like.

It is our hope that we never need any of this extra information. However, in the event that we do, you can count on us to quickly fix any issues by using all the relevant information you have trusted to us.
